What the AI Receptionist handles

When a patient calls, they can choose to speak with the AI Receptionist or press a digit to reach a human. The AI handles routine requests, then routes to your team when needed.

Appointment bookings

Patient requests an appointment by voice. AI checks availability against your calendar rules, books the slot, and sends an SMS confirmation.

Rescheduling

Patient calls to change their appointment. AI identifies the existing booking, finds an available alternative, and confirms the change.

Cancellations

Patient cancels an existing appointment by voice. The AI logs the cancellation and can send a confirmation SMS to close the loop.

Practice FAQs

When enabled, the AI can answer standard questions about practice hours, location, parking, documents required, and other configurable topics.

AI Receptionist requires a MediDesk plan.

The AI Receptionist is an add-on, it is activated on top of an existing MediDesk Lite, MediDesk Pro or MediDesk Max subscription. Core MediDesk plans start from R799 pm. AI Receptionist pricing is based on voice minutes used per month, plus a monthly access fee.

The AI Receptionist is not a self-service toggle. Activation involves configuring your phone routing, booking rules, practice hours, handoff number and voice agent. MediDesk handles this with you before the system goes live.

AI Receptionist FAQ.

Will the AI Receptionist replace my receptionist?
No. The AI Receptionist handles repetitive inbound booking calls, the routine work that takes up time while patients are standing at reception. Your team stays in control of the calendar and can see every AI-handled booking immediately. Patients can always press a digit to reach a human.
What happens if the AI makes a mistake?
All bookings created by the AI Receptionist appear in your MediDesk calendar immediately and are visible to your team. Reception can review, edit or cancel any AI-created booking. Call activity is logged so you can see what was handled and how.
What if a patient needs to speak to a person?
The patient presses a configured digit at any time during the call and is transferred to your human receptionist's number. The AI never holds a patient in a loop. When your practice is closed or minutes are low, calls route to your human handoff number automatically.
Does the AI Receptionist work after hours?
Yes. You configure weekly opening hours and closure dates. After hours, the AI can still accept booking requests that fall within your available calendar slots for future dates. Calls outside supported hours follow your configured routing rules.
How is the AI Receptionist activated?
Subscribe to a MediDesk plan first, then add the AI Receptionist from inside the app. From there, our team configures your phone routing, voice agent, booking rules and practice hours, and runs test calls with you before going live. The whole activation happens inside your MediDesk account, not via this website.
Is the AI Receptionist included in my MediDesk plan?
No. AI Receptionist is a paid add-on, with preset monthly voice plans. Pricing to be announced. The cost is added to your core MediDesk subscription. A minimum of 100 voice minutes per month applies.
What does patient data privacy look like with AI calls?
Call recording requires a consent message to be configured before any recording occurs. Patient identity is verified by name and date of birth. Call data is handled through MediDesk's secure infrastructure. Practices remain responsible for their own patient privacy obligations.
